When you visit our Website, our hosting provider (Vercel) may collect standard web server logs including IP address, browser type, operating system, pages visited, and referral sources. This is standard infrastructure logging; we do not use third-party analytics at this time.

  • To process and review applications for our programs.
  • To communicate with you about your application, eligibility, or program updates.
  • To process donations and send tax-acknowledgment receipts.
  • To send our newsletter, if you opt in.

4. How We Share Your Information

We do not sell or rent your personal information. We may share your information with:

  • Supabase for secure storage of form submissions.
  • Resend for sending transactional emails (application confirmations, receipts, newsletter).
  • Stripe for donation payment processing. Your payment information is handled directly by Stripe and is not stored on our servers.
  • Vercelas our hosting provider. Standard infrastructure logs may be retained per Vercel’s privacy policy.
  • Legal authorities if required by law, court order, or to protect our legal rights.

5. Data Security

We take appropriate security measures to protect your personal information from unauthorized access, use, or disclosure. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

6. Your Rights and Choices

  • Access and Correction: You may request access to or correction of your personal data by contacting us.
  • Opt-Out:You may unsubscribe from our newsletter at any time by clicking the “unsubscribe” link in our emails.

7. Data Retention

We retain submission data for the minimum time needed to review, respond to, and support your request. Unless you ask us to delete it sooner, we keep form submissions for up to three years to support continuity of care and program reporting. Donation records are retained for at least seven years to comply with IRS recordkeeping rules for 501(c)(3) organizations. Newsletter subscribers are retained until they unsubscribe.

8. Deletion Requests

You can request deletion of your personal data at any time by emailing programs@thegaygencyfoundation.org with the subject line “Data deletion request” and the email address associated with your submission. We will delete your data within thirty days, except where retention is legally required (for example, donation records subject to IRS rules). We will confirm deletion via reply email.

9. Sensitive Information

Identity & Documents submissions may include sensitive information such as legal name change history, gender marker updates, and related personal context. This information is stored encrypted at rest, accessible only to authorized Foundation staff reviewing your request, and never shared with third parties without your explicit written consent. You can request a copy or deletion at any time using the email above.

Our Website may contain links to third-party websites. We are not responsible for the privacy practices of these external sites and encourage you to read their privacy policies.

11. Children’s Privacy

Our Website and services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children.
